1. Create a shared reference structure
Keep the merchant order reference and provider payment reference linked. Support and finance teams need a reliable way to connect customer questions, refunds and settlement entries to the original transaction.
2. Define payment states
Document which statuses allow fulfillment and which need investigation. A customer returning to your website is not, by itself, a complete operational record; confirm outcomes using the agreed provider process.
3. Organize refunds
Specify who can authorize and initiate refunds, how partial refunds are recorded and how customers are informed. Distinguish a refund request from its final confirmed outcome.
4. Reconcile the money movement
Compare the transaction records with provider settlement information and bank receipts. Review fees, adjustments, refunds and reserves according to the actual commercial agreement.
5. Prepare exception handling
Assign an owner to unmatched records, delayed settlement questions and ambiguous payment outcomes. Keep the relevant identifiers available without exposing sensitive payment information.
Use your actual settlement reports and commercial agreement when reconciling fees, reserves and adjustments.
